Automation is a curious thing. One moment, you're manually copying data between spreadsheets like a caveman with a particularly dull rock and the next, you've discovered the joys of Zapier and Zoho Flow, two systems designed to make machines talk to each other while you sip tea and wonder where your job went. They both let you connect apps, automate tedious tasks and generally feel like a digital wizard without having to learn how to summon demons via Python scripts. They even come with friendly buttons, conditional logic and webhooks—whatever those are.

Zapier, an ancient and venerable creature born in 2012 in the USA, has the larger app ecosystem, meaning you can link just about anything to just about everything, even if you shouldn’t. It’s perfect for freelancers and small businesses who want quick, no-fuss automation and are willing to pay increasingly ridiculous amounts as their needs grow. It boasts an impressive library of ready-made “Zaps,” so you can set up your first automation in less time than it takes to regret signing up for yet another subscription service.

Zoho Flow, meanwhile, is a more recent arrival from India (2018) and fits snugly into the ever-expanding Zoho ecosystem, which, much like a black hole, consumes everything in its path, but in a way that’s oddly helpful. If you’re already using Zoho’s CRM, Books or Desk, it integrates so smoothly you’d think they planned it that way (which they did). It’s kinder to your wallet if you’re already trapped—er, subscribed—to Zoho One and even has handy tools for transforming data mid-automation, as if it were a particularly well-behaved shape-shifter. It also lets teams collaborate better, because if there's one thing automation can’t yet replace, it’s the need for humans to argue over access permissions.
